HOW TO BOOK MELDRETH VILLAGE HALL

Meldreth Village Hall is the perfect space for community events, parties, classes and meetings. Booking your event is simple, and we’re happy to help every step of the way. 
 
1. Check Availability
 
Check our calendar first to see if your preferred date and time are available.
 
If your date looks available, you can go ahead and submit a booking request.
 
Please remember: the time you book must include set-up and clear-up time.

 
2. Submit a Booking Request
 
To submit a booking request, click [Book Now].
 
  • If you are a new user, you will need to create an account.
  • If you have booked before, simply log in and follow the instructions to request your booking.

Fill in the online form with:
 
  • Your name and contact details
  • Event type and date/time
  • Space required
  • Estimated maximum number of attendees
  • Any special requirements

Please note: submitting a request does not confirm your booking.
It allows us to check the details and availability before approving your request.

We aim to reply within 3 days to confirm your request and arrange payment.
During busy periods this may take a little longer. If you have not heard from us after one week, please use the contact form to get in touch.

 
3. Booking Approval and Invoice

Once we receive your request, we will check the availability and your booking details.
 
If everything is in order, we will send you:
 
  • a booking approval email
  • an invoice for payment
 
4. Payment Secures Your Booking
 
For most bookings we require full payment in advance.
 
For larger events we may request a deposit to secure the booking, with the remaining balance due at least 4 weeks before the event.
 
We currently accept payment by bank transfer only (unless otherwise agreed — please contact us if this is a problem).
 
 
5. Booking Confirmed
 
Once we receive your payment, you will receive confirmation of your booking along with:
 
  • a receipt for the payment
  • instructions for accessing the hall
  • the hall usage guidelines 
  • a copy of the terms and conditions


 
A Note About Our Spaces
 
Main Hall
Ideal for large events such as parties, wedding receptions, performances or community gatherings.

QEII Meeting Room
Perfect for meetings, workshops or smaller gatherings, seating up to 15 people.

Important:
The meeting room can be booked separately from the main hall, so it may be in use during your event.
If you need both spaces, please add the meeting room to your booking request.
 
 

 

Main hall

Capacity: 200 people
Pricing: £10.00-£40.00 per hour

The bright and spacious Main Hall is suitable for a wide range of activities and is a very popular venue for children's parties, family celebrations, community events, craft fairs, quiz nights, performances, and dances.

There is a modern and well-equipped kitchen with a range of appliances and a serving hatch directly into the hall. A small bar area links the kitchen to the hall foyer.

The hall can comfortably accommodate approximately 200 for a seated performance, 150 for a dance and 120 for a seated meal.

A stage (approx. 12 ft deep) and A/V equipment are also available to use on request.

There are 18 x 6' folding tables and approximately 90 cushioned chairs available for use.

Bouncy Castles are allowed but please ensure you read and agree to our Bouncy Castle Policy.

Outside is a beautiful courtyard-style garden with accessible seating and artificial grass area and playhouse for children.

Meeting room

Capacity: 16 people
Pricing: £6.00-£7.00 per hour

The comfortable Queen Elizabeth II meeting room, with self-contained kitchen area, is suitable for meetings, talks and study groups.

Set up boardroom style the room can comfortably accommodate up to 12 people. The room can accommodate up to 16 lecture style.  

The QEII meeting room can be booked separately from the Main Hall, unless an activity is taking place in the hall which prevents this. Please contact us if you have any questions about using the meeting room.

Our facilities

Please make all booking requests using the 'Request Booking' link. Online booking requests will receive a quotation via email. Registered users have access to all their booking information and can easily make repeat bookings and manage their account.

The Main Hall and QEII meeting room can be hired separately (although there may be certain times this is not possible due to restrictions).

The entire venue can be hired for exclusive use for large events such as wedding receptions.
